5. Our lawful bases

UK data-protection law requires us to have a lawful basis for using personal information. Depending on the circumstances, we rely on:

  • Contract: to take steps at your request before providing a service and to fulfil bookings, jobs and service plans.
  • Legal obligation: to maintain records and comply with tax, accounting, safety or other legal requirements.
  • Legitimate interests: to operate and improve the business, answer enquiries, manage customer relationships, protect the website, recover legitimate debts and defend legal claims. We consider the effect on your privacy before relying on this basis.
  • Consent: for optional marketing and non-essential cookies where consent is required. You may withdraw consent at any time.

6. Website enquiries and quotations

When you submit a website form, we use the information to understand your request, contact you and decide whether we can provide the service. Please make sure the information you provide is accurate.

Submitting an enquiry does not create a service contract. We may retain a record of the enquiry so that we can respond, follow up appropriately and keep reasonable business records.

7. Online bookings and Square

When online booking is available, we may use Square Appointments to display availability, manage appointments, collect customer details, send confirmations and process one-off card payments.

Square acts as an independent provider for parts of this processing and applies its own privacy and security terms. We receive the booking, contact and payment-status information needed to manage your appointment. We do not receive or store your complete card details.

8. Direct Debit service plans and Stripe

We use Stripe to create and administer recurring Bacs Direct Debit payments for the Infiniti Annual Boiler Service Plan.

Stripe collects the information needed to establish the Direct Debit instruction, including bank and account-holder details. We receive limited customer, subscription, mandate and payment-status information needed to administer the plan. We do not receive or store your complete bank-account credentials.

Stripe may process personal information as an independent controller or processor, depending on the activity. Stripe’s own privacy notice is available at stripe.com/gb/privacy.

9. Cookies and website analytics

Our website may use:

  • Essential cookies needed for security, forms, website operation and your privacy choices
  • Analytics cookies that help us understand website visits and performance
  • Advertising cookies or pixels that help measure advertising and enquiries
  • Third-party cookies associated with embedded content, booking or payment services

Where required, non-essential cookies and tracking technologies should not be activated unless you give consent through the cookie banner. You can change or withdraw your choices through the website’s cookie controls and through your browser settings.

We may use Google Analytics through website tools such as MonsterInsights to produce aggregated website reports. Where advertising tools such as Google Ads or Meta technologies are enabled, their use is subject to the applicable cookie choice and provider privacy terms.

10. Who we may share information with

We may share relevant information with carefully selected recipients where necessary, including:

  • Engineers, employees or subcontractors attending the property
  • Stripe for Direct Debit and subscription administration
  • Square for appointments and one-off online payments

  • Google, Meta or analytics providers where their services are enabled

We do not sell or rent personal information to third parties.

11. International data transfers

Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we expect the relevant provider to use an adequacy regulation, approved contractual clauses, the UK International Data Transfer Agreement or another lawful transfer mechanism.

12. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. The period depends on factors including:

  • Whether an enquiry, booking, service plan or customer relationship remains active
  • Accounting, tax, gas-safety, warranty and insurance requirements
  • The need to answer complaints or establish, exercise or defend legal claims
  • Applicable limitation periods and legal obligations
  • Your marketing and cookie choices

When information is no longer required, we will delete it, anonymise it or securely restrict its use where deletion is not immediately possible.

13. How we protect information

We use reasonable organisational and technical measures designed to protect personal information against unauthorised access, alteration, loss or disclosure. These include appropriate access controls, account security, reputable service providers and secure payment platforms.

No internet service is completely risk-free. Please avoid sending bank details, passwords or unnecessary identity documents through ordinary email or website messages.

14. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • Ask for access to your personal information
  • Ask us to correct inaccurate or incomplete information

  • Object to processing based on legitimate interests or direct marketing
  • Receive certain information in a portable format

We do not use personal information to make solely automated decisions that have legal or similarly significant effects on customers.

18. Complaints

Please contact us first if you have a privacy concern so that we can investigate it.

You also have the right to complain to the Information Commissioner’s Office. Information is available at ico.org.uk/make-a-complaint, or by calling 0303 123 1113.

19. Changes to this policy

We may update this policy when our services, website tools or legal obligations change. The latest version will be published on this page with a revised “Last updated” date.
